Your questions answered:

1.          How to rota better

The system includes information on all staff groups allowing an overview of activity by speciality or teams. The system has the ability to assign any member of the workforce to a specific roster configured for a clinical area which may well include various work patterns, templates or job plans.  It also includes the capacity for staff to book leave and swap shifts (subject to approval) and communicate with the roster supervisor/administrator to meet their own work/life/study balance needs. The system has the flexibility that allows organisations to roster staff in the most efficient patterns but also allow staff the flexibility to make changes within agreed limits.

2.          Compliance of European Working Time Directive

The system automatically includes support to EWTD and flags up any staff or group of staff whose rota will take them over the limit of working hours. The system can also include staff who have chosen to opt out of the EWTD and have different work patterns.

 

3.          Standardisation of systems

We believe we have an integrated solution that meets the needs of staff management in complex operational settings. This solution provides one system that can roster staff so that staff deployment is clear well into the future combined with time and attendance software that can capture the actual activity on the day and inform payroll and HR systems of the actual time worked. The system can produce visual reports demonstrating the workforce available in specific areas irrespective of the various professional backgrounds and work patterns, giving the organisation a complete overview of their key resources – their staff.

 4.       Staffing ratios

The system has the ability to roster a variety of staff together yet maintain the varying working hour/conditions requirements i.e consultants, juniors, nursing and advanced practitioners.  This flexibility allows organisations to develop rotas to meet the needs of individual work areas and does not rely on a “one size fits all” approach. The organisation is in control of how rotas are configured and what the staffing skill mix should be.

5.          Staffing Skill Mix

The system has the ability to include complex data on clinical competency and appropriateness for deployment to specific clinical areas based on supervision required or competencies. This flexibility allows the organisation to ensure that the appropriate staffing skill mix is maintained across shifts and can be varied to meet the different needs of individual specialties. In addition the system has the  ability to assign any member of the workforce to a specific roster configured for a clinical area which may well include various work patterns, templates or job plans. 

6.          Flexibility of rules

The system has key rules (such as EWTD) built into the software but the system is flexible enough to cope with the complex operational environment within healthcare. System administration and organisation administration roles have the ability to configure the system to meet the needs of the organisation. Standard user login will not have access to these rules or the ability to change them.  

7.       Links to national systems

This integrated solution includes the ability to interface with local HR and Finance systems. At the implementation stage there is also the opportunity to include the data and rules from national systems.
